What to Ask a Youth Enrichment Provider Before You Partner

Whether you are a parent pushing for better after-school options or an administrator evaluating vendors, the questions you ask up front determine whether an enrichment partnership runs smoothly or becomes a headache in week three.
Here are the questions worth asking any youth enrichment provider before your school, parks department, or community center signs on.
1. Who Is Actually Standing in Front of My Students?
Ask specifically:
- Are all instructors background checked, and how recently? - What training do they complete before leading a session? - Do the same instructors return each week, or does staffing rotate? - What is the student-to-instructor ratio?
Consistency matters more than credentials on paper. Kids behave better and engage faster when they recognize the person leading the club.
2. Who Brings the Equipment and Curriculum?
A real enrichment provider shows up with everything the program needs. If your staff has to source materials, print curriculum, or store supplies, you have hired a scheduling service, not a provider.
Ask what the site is expected to supply. For most programs, the honest answer should be: a space, and that is it.
3. What Does a Session Actually Look Like, Minute by Minute?
Ask for the shape of a single session. A well-run enrichment club has a predictable structure: an opening hook, a skill or build phase, active play or competition, and a debrief.
If a provider cannot describe the flow of one hour, they do not have a curriculum. They have activities.
4. How Do You Handle Behavior and Group Dynamics?
This is the question most schools forget and later regret. Ask:
- What happens when a student refuses to participate? - How are conflicts between students handled? - Who communicates with families when there is an issue?
Strong providers have a stated approach — usually one grounded in social-emotional skills like communicating effectively, valuing other perspectives, and perseverance — and they document what happened after each session.
5. What Is Your Sign-Out and Safety Procedure?
For after-school clubs, dismissal is the highest-risk moment of the day. Ask about:
- Authorized pickup lists and identity verification - Attendance tracking at the start and end of each session - Incident reporting and who gets notified - Medication policy (many providers, including ours, do not administer medication)
6. How Do You Report Back to Us?
You should not have to ask how the program is going. Look for a provider that sends session summaries covering attendance, what students worked on, group challenges, and what is coming next.
Documentation is also what makes a program defensible to your school board or parks commission at renewal time.
7. Can You Scale With Us?
If the first club succeeds, families will ask for more. Ask whether the provider can add sessions, add grade bands, run out-of-school-day camps, and cover summer weeks — and whether they already operate at multiple sites in your area.
A provider running a single club is easy to find. A provider that can staff a full year of programming across a district is not.
8. What Does It Cost Families, and What Does It Cost Us?
Get clarity on the model:
- Is the program parent-paid, site-paid, or a mix? - Who handles registration and payments? - Are there minimum enrollment thresholds? - What happens if a session is canceled for weather or a school closure?
Parent-paid models with the provider handling registration are usually the lightest lift for a school.
9. Who Do We Call When Something Goes Wrong?
Ask for a named contact and a response-time expectation. "Email our general inbox" is not an answer for a program that runs on your campus with your students.
How The Recreation Academy Answers These
The Recreation Academy operates hands-on enrichment clubs and camps at schools, parks departments, libraries, and community centers across Missouri, Illinois, and Oregon. Our instructors are background checked and trained before they lead. We bring the curriculum and the equipment. Every session ends with a written summary covering attendance, group challenges, and student growth. We handle family registration and payments, and each partner site has a named contact.
Program lineup includes drone battles, RC racing, foam-tipped archery, trading card clubs, Minecraft and STEM builds, sports clinics, and 9 Square — built for before school, after school, out-of-school days, and summer camp weeks.
Ready to Start the Conversation?
If you are a parent, forward this to your principal, superintendent, or after-school coordinator. If you are an administrator, we can walk you through every question above on one call.
